Exporting products

Exporting products

You can export your products to a CSV file to help with several tasks:

  • Creating a backup of your products.
  • Moving your existing products to a new Shopify store.
  • Editing your products in bulk using a spreadsheet.

Any changes that you make to the products in your product CSV file appear in your store's product list if you import your product CSV file into the Shopify admin.

Note

The easiest way to edit multiple products or product variants simultaneously is to use the bulk editor in your Shopify admin.

Export your products

If you export up to one page of products (up to 50 products), then the CSV file is downloaded by your browser. If you export more than one page of products (51 or more products), then the CSV file is emailed to you. If you aren't the store owner, then the file is sent to the store owner's email as well.

Steps:

  1. From your Shopify admin, go to Products.

If you want to export only some of your products, then you can filter your product list to view and select specific products for export.

  1. Click Export.

  2. From the dialog box, choose the products that you want to export:

    • The current page of products
    • All products
    • Products you have selected
    • Products that match your search and filters.
  3. Select which type of CSV file you want to export:

    • CSV file for Excel, Numbers, or another spreadsheet program. Use this format if you plan to use a spreadsheet program to edit your product CSV file.
    • Plain CSV file. Use this format if you plan to use a plain-text editor with your product CSV file.
  4. Click Export products.

Caution

Sorting your CSV file in a spreadsheet program can cause product variants or image URLs to become disassociated. Importing a CSV file that has been sorted might overwrite your existing products with bad data, which can't be recovered.

Access your product image files

If you move your products to a new website and plan to close your current store or delete some of its product listings, then you need to upload your product CSV file to your new store while your old store and its product listings remain viewable.

When you export your products, the images associated with each product are not included in the CSV file. If you import the products to a new store, then the product images are generated only if they remain viewable on a publicly accessible website.

To ensure that your product images remain accessible to you, leave your original store and its products intact until you finish the import process. This allows your new store to assign the correct product image to each listing.

Use a text editor to edit your products CSV file

If you don't have a spreadsheet program, then you can edit CSV files using a text editor.

Caution

You should only use a text editor as a last resort. For example, use a text editor if there are formatting errors in your CSV file and you cannot open it in a spreadsheet program.

Most computers have text editors that can open CSV files. You can also use a program like Visual Studio Code or Sublime Text to edit and debug your CSV file.

Note

A CSV file with UTF-8 encoding is the only file format that can be used to import to or export from Shopify.

When you format your CSV file in a text editor, observe the following considerations:

  • Column headers must be separated by commas (for example, First Name,Last Name,Email,Company,Address1).
  • The list of tags must be wrapped in quotation marks (for example, "tag1,tag2,tag3").
  • Tags are not case sensitive.
  • Different records must be separated by line breaks.

Filter and export your products list

You can use filters to organize your products list before exporting. If you need to change only some of your products, then you can add a filter. It could be easier to edit your products using a shortened CSV, rather than your entire product list.

Steps:

  1. On the Products page in Shopify, add a filter using conditions that list only the necessary products.

  2. Export your products list, and make sure that you select the option to export only the products matching your filter.

A CSV file containing only those products in your filtered list will export.

After you make any changes to your exported product CSV, you can import the edited CSV file back to Shopify.

In 1992, Karen Markson followed her entrepreneurial interest by taking the leap to co-found ExTerra Global Trading – a commodities wholesaler for the export of U.S. agricultural commodities to food wholesalers located in the Caribbean and Latin America – with her business partner, an investment bank that specialized in the buying and selling of Latin American bonds. In the first six years, Markson was instrumental in growing and diversifying the company’s revenues and export customer base. Then, in 1998, she jumped at the opportunity to buy out her business partner who was retiring.

In the beginning, financing for the business was never an issue, as ExTerra was able to obtain private funding from its former partner. After the partner buy-out, though, Markson moved quickly to secure an SBA Export Working Capital Program (EWCP) line of credit from her bank as she realized the critical importance of having access to financing, especially for a food wholesaler. According to Karen, access to export working capital financing was critical to the company’s overall success as it provided the necessary liquidity to scale and grow the business. For the past 23 years, ExTerra has utilized SBA’s EWCP as its primary source of working capital financing.

SBA’s EWCP helps small companies better compete in global markets by allowing lenders to offer much needed working capital financing to fund export transactions for small businesses. EWCP can also be used to issue standby letters of credit to serve as a bid bond or advanced payment guaranty, while only requiring the lender to take a collateral deposit of 25% of the amount of the standby letter of credit, freeing up the remaining 75% for working capital purposes.

According to Karen, the main source of stress for her – and presumably most businesses – is having access to appropriate working capital financing that can provide the liquidity during difficult times, such as crop droughts, commodity price fluctuations, and foreign currency devaluations. During these challenging times, Markson is happy to know that she has a lender in her corner that understands the situation and can provide some level of flexibility.

Today, ExTerra is an SBA-certified, woman-owned business and has twice been nominated for Exporter of the Year award.
